How to switch CRMs without losing your database

By Andy Mazzolini

Ask an agent why they are still on a CRM they complain about every week and you will almost always hear the same thing: moving everything over is too painful. The contacts, the notes, the tags, the history. It feels like a project, so it never happens. That fear is the single biggest reason agents stay stuck.

The real reason migrations feel scary

Old migrations meant exporting a messy spreadsheet, then spending hours matching columns by hand, guessing which field went where, and cleaning up duplicates one by one. Halfway through you would lose track of what imported and what did not, and the whole thing felt risky enough to abandon. The data was never the problem. The manual cleanup was.

Export, then let the import read it

The fix is to stop doing the matching yourself. Export a CSV from your current CRM, drop it in, and let a smart import reader figure out the columns for you. Odd headers, different naming, missing fields: it reads the values, maps them, and shows you a preview before anything is committed. You confirm, you do not transcribe.

Dedupe and score on the way in

A good import does two more things while it works. It merges the duplicates that pile up across years of exports, so your sphere stays clean instead of doubling. And it scores every contact as it arrives, so the day you switch, your AI team already knows who to call first. Your database does not just land. It lands ready to work.

A clean start, the same day

Switching CRMs should be a one-afternoon decision, not a one-week project. When the import does the heavy lifting, the thing that kept you stuck disappears, and you get to start fresh on a system that actually works your database instead of just storing it.
